What to Include in Every Excavation Proposal

1. Cut/Fill Volume Estimate

Put your cubic yard estimates in the proposal. "Estimated 2,400 CY import / 3,200 CY export" shows the client you've read the grading plan and run the numbers. Competitors who give a lump sum without volume estimates look like they guessed. You look like you know the job.

2. Soil Handling Strategy

How are you managing the soil? Stockpile on-site? Haul to a disposal facility? Re-use topsoil for final grading? Clients — especially developers — need to know. "Topsoil stripped and stockpiled on-site for re-use in finish grading" is a single sentence that demonstrates planning.

3. Utility Language

Every excavation proposal needs explicit utility language. "Utility locates (Dig Safe 811) to be completed by owner prior to mobilization" protects you legally and signals professionalism. Contractors who don't mention utilities create liability. Contractors who address them in writing demonstrate experience.

4. Rock and Groundwater Exclusions

Two things can turn a $90,000 excavation job into a $130,000 disaster: unexpected rock and unexpected groundwater. Exclude both explicitly: "Rock excavation (boulders 1 cubic yard or larger) is not included and will be quoted separately at time of encounter." This is standard industry language — any developer or GC will expect it.

5. Compaction Specification

Reference the compaction spec: "Compact to 95% Proctor per ASTM D698, per geotechnical recommendations." This tells a developer you've read the geotech report. It tells a GC you understand what the foundation contractor needs. It tells a homeowner you're not just pushing dirt — you're building a foundation.

6. Erosion Control Plan

On any site larger than 1 acre, SWPPP (Stormwater Pollution Prevention Plan) is required. Show it in your proposal: "Perimeter silt fence, rock check dams at drainage outlets, and inlet protection per SWPPP." Clients who haven't thought about this will be grateful. Clients who have will be impressed.


Common Excavation Proposal Mistakes

1. Lump-sum with no volume breakdown "Mass grading and site work — $95,000" is an invitation to dispute. When the job runs long because haul-off volumes were higher than expected, you'll argue about who knew what. Volume estimates in the proposal set expectations and create a framework for legitimate change orders.

2. No exclusions Excavation exclusions are not optional. Rock, groundwater, dewatering, utility conflicts, unsuitable soils — any one of these can double a project cost. If they're not excluded, they're included. Document everything you're not doing.

3. No utility language The call before you dig is the client's responsibility. Make sure they know it. "Utility locates to be completed by owner prior to mobilization" is four words that can save you from an insurance claim and a lawsuit.

4. Vague haul-off language "Material disposal as needed" is not scope language. Where is it going? Who is paying for tip fees? Who is responsible if the soil tests contaminated at the disposal site? Be specific: "All material hauled to [Facility Name], disposal fees included in contract price. Material to be tested by owner prior to acceptance if required by facility."

5. No timeline Developers and GCs need to know when you're starting and when you're done. Their entire construction schedule depends on your completion date. An excavation contractor without a committed timeline loses to the one who says "ready to mobilize April 7, done by May 9."
